Administrative Assistant

Reflective Marketing is a growing social media marketing agency in St. John’s, Newfoundland. We help our clients get known on social media and grow their businesses. Our clients range from tourism and food services to residential housing and telecommunications. Our team is excited to expand, and we hope you’re up for the challenge of growing the company with us!

As an Administrative Assistant, you ensure that new clients get the best onboarding experience, that existing clients are taken care of, and our business is organized and moving forward like a well-oiled machine. You are incredibly thorough, meticulous, and tech-savvy. Ultimately, you love helping people and you’ll make a great first impression for our clients.

What Your Role Looks Like:

  • Onboarding new clients following our process, including sending contracts, setting up invoicing and payments, creating client folders, and using Asana to manage the client project;
  • Assist with documenting processes and procedures across the company;
  • Organizing electronic and paper receipts for our accountant.
  • Sending thank you cards, gifts, and helping us be thoughtful and appreciative to our clients and partners;
  • Reply to email, telephone, or face-to-face enquiries;
  • Sending invoices and setting up payments through Freshbooks;
  • Following up on late payments;
  • Pulling reports from our time-tracking software, Harvest;
  • Assist with developing presentations, proposals, and training materials;
  • Assist with generating client reports;
  • Assist with managing calendars and inboxes for staff;
  • Capable of working in a fast-paced, collaborative environment

What You’ve Got To Offer:

  • A diploma in office admin or similar education;
  • Passion for small business;
  • Attention to detail and organization;
  • Excellent written and verbal communication skills;
  • Strong work ethic.

Bonus Points If You Have:

  • Marketing experience;
  • Bookkeeping or accounting experience;

What’s In It For You:

  • This is a contract position starting at 5-10 hours per week, with the possibility to grow.
  • Paid training on software will be provided.
  • Flexibility to work from our office if desired; some tasks will require you to pop in for a few hours.
